A Ring Group is an extension that when called with ring additional phones in the group. Ring Groups can ring phones sequentially, all at once, or round robin depending on your application. It is recommended to limit the number of phones in a ring group to less than 6. If you require additional extensions to be rung, create a Call Center to better manage the call flow.
- Login to phone server, hover over Applications and select Ring Group
- Select Add in the right corner
- Name - Name of Ring Group
- Extension - 201, 202, etc
- Strategy - Simultaneous
- If you have more than 5 phones on a ring group, we suggest you set Enterprise. This provide more robust messaging to prevent issues.
- Destinations
- Add in the telephone numbers or extensions you wish to ring.
- You may put external numbers in here
- Timeout - Number of rings until it stops
- Prompt - Select Confirm if you are ringing an external phone
- Confirm will require you to press 1 to answer the call, this prevents the call from going to your cell phone's voicemail
- Timout Destination - Where to send the call once the call timeout has expired
- Typically you would select a voicemail account
- Some ring groups will ring another ring group of external phones, or a second tier of support
- Call Timeout - Typically 20 - 30 seconds
- Select Save
Should you only want a Ring Group to ring during certain times or business hours, you may add a Time Condition to the Ring Group.
New Time Condition
- Login to phone server, hover over Applications and select Time Condition
- Select Add in the right corner
- Name
- Extension - 261, 262, etc
- Settings - This is where you define the conditions to allow the call to ring the Ring Group
- Destination - The Blank box below condition is the destination should the conditions be met. Typically the Ring Group
- Alternate Destination - This is the destination the call will be sent to outside of the defined condition
- Enabled
- Select Save
You may now route calls to the Extension number you created with the Time Condition.
